Position Title: Administrative Director

Organization Summary
Vigilant Hope is a Christian ministry in Wilmington, NC, whose dual mission includes practicing holistic Christian Community Development in Wilmington’s Southside neighborhood and equipping faith communities to alleviate poverty. For nearly 20 years, we have been strategically present within the streets, church, and city, educating and equipping people to actively combat poverty. Today, our organizational programming focuses on youth leadership development, economic development, street outreach, safe homes, and helping congregations leverage their assets to help “move the needle” in addressing root causes of poverty and to seek God’s Kingdom- on earth as it is in heaven.
Position Summary
The Administrative Director is instrumental in supporting Vigilant Hope’s growth by ensuring operational excellence and enabling the scalability of mission-driven initiatives. Vigilant Hope is moving into a new chapter, anticipating expansion of solution-focused programming and this role will be key in ensuring operational systems are crafted to sustain growth and maximize impact. This is a key leadership role, overseeing the organization’s systemic health; administration, finance, IT, human resource, and facilities functions. This role also serves in an advisory capacity to Vigilant Hope’s business enterprises. The position requires a proactive, detail-oriented, and strategic leader passionate about leveraging operational excellence and financial stewardship to mobilize the local church to combat poverty.
Primary Responsibilities
1. Organizational Systems Development and Oversight
- Oversee health and development of all administrative functions and initiatives.
- Regularly evaluate systems and processes to identify areas for improvement and ensure sustainable growth and mission impact.
- Establish and maintain software systems (CRM, HR platform, and others) to ensure technology supports the organization’s growth and mission impact.
- Develop and maintain IT policies and procedures, including data security, user access management, and backup protocols. Ensure compliance with IT-related regulations and manage digital systems and infrastructure risks.
- Ensure compliance with HR regulations (e.g., payroll, workplace safety, and employee policies), programmatic requirements (e.g., grant conditions and legal obligations), and facilities-related safety and compliance measures.
- Develop, implement, and regularly update a risk management plan to mitigate organizational risks across financial, operational, and programmatic areas.
2. Financial Oversight and Management
- Manage and monitor all financial systems, including QuickBooks, payroll, donor contributions, grant compliance, and Vigilant Hope Roasting’s financial performance.
- Collaborate with external accountants and auditors to ensure compliance with tax filings, audits, and nonprofit financial standards.
- Prepare and analyze budgets, forecasts, and financial statements, ensuring alignment with organizational goals and compliance with nonprofit best practices.
- Ensure compliance with financial regulations, tax filings, and nonprofit best practices.
3. Facilities Oversight & Asset Management
- Supervise and oversee the maintenance, operation, and development of Vigilant Hope’s facilities, ensuring they remain safe, functional, and aligned with the mission.
- Develop and implement policies for facility use, security, and improvements.
- Identify and manage necessary capital improvements or renovations to enhance operational effectiveness.
4. Vigilant Hope Roasting: Business & Financial Oversight
- Work alongside the Executive Director and Director of Social Enterprise to ensure sustainable growth, operations, and financial management of Vigilant Hope social enterprises.
- Monitor the Vigilant Hope Roasting’s key performance metrics, financial health, and operational goals to ensure alignment with organizational priorities.
- Support strategic business planning, including cost analysis, pricing models, retail and wholesale strategy, and financial forecasting.
- Ensure adherence to local, state, and federal business regulations applicable to the roastery’s operations.
5. Reporting and Strategic Communication
- Support strategic decision-making by providing clear, actionable reports to the Executive Director and Board of Directors.
- Ensure key stakeholders are informed of financial and operational developments, including presenting to donors, lenders, and grantors as needed.
6. Administrative Leadership and Staff Development
- Directly hire, manage, and develop staff and contractors in Finance, HR, IT, Facilities, and Administrative functions.
- Collaborate with the Executive Director in developing and implementing strategic initiatives and organizational goals.
- Occasionally represent Vigilant Hope in meetings and events with community partners.
Qualifications and Skills
- Followers of Jesus with alignment to the mission and vision of Vigilant Hope.
- An ideal candidate will have an established love for and strong relationships in the Southside community (i.e. resides, grew up, worships on the Southside) OR relevant experience in other CCD environments.
- Bachelor’s degree in nonprofit management, business administration, finance, operations or a related field. Equivalent professional experience may be considered in place of a degree for highly qualified candidates.
- 5+ years combined experience in operations, financial management, human resources, and/or administration.
- Exceptional organizational, project management, and analytical skills.
- Strong collaboration and interpersonal skills, with experience working across teams and managing staff.
- Excellent verbal and written communication skills, including experience presenting financial and operational data to diverse stakeholders.
- Experience managing IT systems, including CRM tools, HR platforms, donor databases, and financial software.
- Understanding IT best practices, data security, and compliance with data privacy standards.
- Ability to work independently while fostering a collaborative and mission-driven team environment.
- Experience working in a nonprofit of a similar size is preferred.
Annual Salary: $60,000 – $65,000 (based on experience and qualifications)
